RMMmax vs Tactical RMM

Managed RMM versus self-hosted RMM. Compare endpoint capabilities and operational control, then include infrastructure, maintenance and support in the cost.

The platform decision

RMMmax delivers a full managed RMM platform with native agents, cross-OS maintenance, remote control, alerting, security workflows and reporting. Tactical RMM offers self-hosted management with MeshCentral remote access, checks, scripts and Windows patching. The choice is about deployment ownership and the workflows you need – not a full RMM versus an automation add-on.

Side by side: RMM capabilities and controls

Both products are evaluated as the RMM that manages your fleet. A feature name alone does not establish equal OS coverage, configuration depth or plan access.

AI/MCP automation and permissionsMCP-compatible assistant access with separate read, write and execute scopes. Included on Free; optional $0.50/agent/month list-rate add-on on paid plans. Base-plan tool limits still apply.Task and script automation; evaluate any additional AI/MCP integration and its permission model separately.
Pricing and account limitsFree: 5 agents / 1 user. Essentials: $1/agent/month / 3 users. Pro: $2/agent/month / unlimited users. Paid plans support up to 5,000 agents, with automatic volume discounts and peak-enabled-agent billing.Self-hosting costs plus any applicable agent, license or support fees; check current project terms rather than assuming zero total cost.
PSA, ticketing and billingAn RMM platform, not a PSA replacement. Evaluate your separate service-desk, ticketing and business-billing requirements.Validate your separate PSA, ticketing and billing workflow.

RMMmax controls: beyond a feature checkmark

Choose the scope and the schedule

  • Target a client, location or selected agents for weekly, monthly or one-off patch schedules.
  • Set client defaults and agent overrides for supported Windows update options: feature/quality deferral days, metered downloads, Microsoft product updates and restart notifications.
  • Review pending patches, severity-based patch scores, recent successes/failures and reboot-required state.

Control restarts and remediation

  • Use Reboot Manager groups, schedules and pending-reboot/uptime conditions on supported endpoints.
  • Configure user notices, maximum deferral counts and mandatory reboot windows where supported.
  • Use the BitLocker-encryption reboot safeguard where BitLocker access and endpoint support apply.

Make automation accountable

  • Run compatible scripts and inspect execution output instead of assuming dispatch means completion.
  • Collect reusable operational state through Custom Data Fields and retain available change history.
  • Route script-driven notifications to console, toast and email; paid SMS requires permission, opt-in and a supported destination.
  • Use BleachBit cleanup and supported SurfLog web-usage visibility alongside printer inventory and warranty context.

Bound AI access by permissions

  • Connect an MCP-compatible assistant with explicit read, write and execute scopes.
  • Keep fleet queries and permitted actions scoped to the team and the tools the plan allows.
  • MCP does not add Pro-only tools to Essentials. Assistant-provider costs, if any, are separate.

Which platform fits your operations?

Choose RMMmax when…

  • You want a full managed RMM with native agents, not a dependency on another RMM.
  • You need Windows, macOS and Linux operations with patching, software, scripts and results in one console.
  • You want Free or Pro access to remote control, BitLocker, CVE Intelligence and Recon.
  • You value public per-agent pricing and permission-scoped MCP automation with clear plan boundaries.

Choose Tactical RMM when…

  • You want to own and operate your RMM infrastructure.
  • MeshCentral and Tactical checks, tasks and scripting fit your workflows.
  • You have the resources to maintain hosting, backups, updates and security.

Prove the whole RMM workflow

Enroll representative endpoints. Test inventory and alert delivery, scan and install patches, run a scheduled script, complete a remote session, review security findings and produce a client report. Compare the licensed configuration that passes your test – not an isolated headline price.

Evaluate RMMmax on 5 Free Agents

USD list rates before automatic volume discounts. Paid plans are month-to-month; billing uses peak enabled agent count. MCP and SMS are separate paid services where applicable.

Free includes the full non-SMS toolbox within 5-agent / 1-user limits. Free teams must sign in at least once every 30 days to avoid retirement and permanent data purge. Paid plans have no inactivity retirement. See current plans, limits and pricing.

Questions before you switch

Can RMMmax replace Tactical RMM as our RMM?

Yes. RMMmax runs independently with its own agents and provides monitoring, alerting, patching, software management, scripting, reporting and remote control on entitled plans. Pilot your required workflows and supported operating systems before migrating. A separate PSA or service desk may still be needed.

Is another RMM required?

No. Native RMMmax agents manage endpoints directly. Optional integrations are a deployment choice, not a requirement for the platform. This page compares standalone RMM operation.

Are remote control, security tools and MCP included in every plan?

No. Free and Pro include Remote Control, BitLocker, CVE Intelligence and Recon; Essentials does not. Free includes MCP, while Essentials and Pro require the optional MCP add-on. Defender and BitLocker are Windows-specific; all tools require compatible endpoints and configuration.

Which platform costs less for our team?

Price the same fleet, users and required capabilities. RMMmax paid list rates are $1/agent/month for Essentials and $2 for Pro, plus $0.50 for optional MCP before volume discounts. Include competitor products, remote-access licenses, hosting, optional services and agreed contract terms. No universal savings claim is made.

What should we validate before migration?

Test OS support, patch and reboot behavior, alert routing, remote sessions, script results, security data and report exports. Verify permissions and plan access, and plan a phased rollout with a rollback path. Native agents and operational policies must be deployed and configured; migration is not automatic.
